Pre-Shipment Inspection in China: What Buyers Need to Check

Introduction
A pre-shipment inspection gives the buyer evidence about finished goods before they leave the supplier. It is most effective when the order documents contain measurable requirements and the inspection happens early enough for correction.
What is a pre-shipment inspection?
An inspector checks a defined sample of completed and packed products against the purchase order, specification, approved sample and checklist. The report describes findings; the buyer remains responsible for the commercial ship, hold or corrective-action decision.
When should inspection take place?
Inspection is usually arranged when production is substantially complete and enough goods are packed to evaluate packaging, but before final shipment authorization. Timing should leave room for sorting, rework and reinspection.
Quantity and product identity
Compare finished, packed and unfinished quantities with the order. Confirm model, color, size, assortment, accessories and identification markings so a visually acceptable shipment is not the wrong product mix.
Workmanship, measurements and weight
Use agreed defect definitions and inspect surfaces, assembly, finish and construction. Measure critical dimensions and weight with suitable equipment and defined tolerances. Record the method and actual results.
Function, color and material checks
Perform safe, practical functional checks described in the specification. Compare color under appropriate conditions and review material indicators or documents where applicable. Laboratory testing requires separate qualified facilities and is not replaced by visual inspection.
Labels, accessories and documentation
Check product labels, barcodes, carton marks, manuals, warnings and included accessories against approved artwork and order requirements. Confirm model-specific documentation rather than accepting a generic file.
Packaging and carton checks
Review unit protection, inner packs, carton dimensions, gross and net weight, seals and assortment. Drop or transport tests should only be performed when a method and acceptance criteria were agreed in advance.
Defects, photos and reporting
Classify findings consistently and include overview, close-up and measurement photographs. A report should make pending questions visible and distinguish observed facts from assumptions.
Pass, fail and corrective action
Pass, fail or pending status depends on the agreed sampling plan and critical requirements. If the result is unacceptable, define containment, rework, replacement and reinspection before releasing the shipment.
